Privacy Notice

Being Dog is committed to respecting and protecting your privacy. This Privacy Notice explains how Being Dog collects, uses, stores and shares personal information when you contact us, use our services, purchase a digital product, request a resource, subscribe to our mailing list or use this website.
Being Dog is operated by Zaira Battaglia, who is responsible for the personal information described in this notice.

1. Information we may collect
Depending on how you interact with Being Dog, we may collect:
your name and contact details, such as your email address, telephone number and address;
information you provide when making an enquiry or completing a separation anxiety intake form;
information about your dog, household, routines and circumstances that is relevant to the service you have requested;
emails, WhatsApp messages and other communications between you and Being Dog;
photographs, training videos and other files you provide in connection with your dog's training;
recordings of online consultations where recording has been agreed with you;
information relating to bookings, purchases and payments;
your newsletter and email preferences; and
technical information about use of the Being Dog website, including information collected through cookies and similar technologies.
Where you provide information about another person, such as another member of your household, please only provide information that is relevant to your dog's training or the service being provided.
2. How we use your information
We may use your information to:
respond to enquiries and communicate with you;
understand your dog's training or behaviour needs;
provide and administer dog training and separation anxiety services;
review training videos and prepare individual training guidance;
arrange and provide online or in-person consultations;
provide ongoing support and maintain an appropriate record of previous training;
process and maintain records of purchases and payments;
provide digital products and resources you have requested;
send newsletters and other email communications where you have chosen to receive them;
maintain appropriate business, accounting and tax records;
operate and maintain the Being Dog website and understand how it is used; and
comply with legal obligations and protect Being Dog's legal rights where necessary.
We will not use your photographs, videos, consultation recordings or case information publicly for marketing, social media, case studies or external educational purposes without your separate permission.
3. Why we are allowed to use your information
UK data protection law requires Being Dog to have a lawful reason for using your personal information. The reason depends on what the information is being used for.
Providing a service or product you have requested (contract)
We use information that is necessary to respond to your request and provide a service or product you have booked or purchased. For example, we need relevant contact, intake and training information in order to provide dog training or separation anxiety support.
Running Being Dog and maintaining appropriate records (legitimate interests)
We may use and retain information where there is a reasonable business need to do so, provided this does not unfairly override your privacy rights. This includes communicating with clients and enquirers, maintaining appropriate records of services and previous training so that we can provide continuity if you return for further support, and managing and protecting the business.
Where you have made a choice (consent)
We rely on your consent for certain uses of your information, such as some marketing communications or where you separately give permission for material to be used publicly. Where we rely on consent, you can withdraw it at any time.
Where the law requires it (legal obligation)
We may need to use or retain certain information to meet legal requirements, including accounting and tax obligations.
4. Newsletter, mini-guide and email communications
Being Dog uses MailerLite to manage newsletter subscriptions, send email campaigns and deliver resources such as the free mini-guide.
If you choose to subscribe to marketing emails, you can unsubscribe at any time using the unsubscribe link included in those emails.
Unsubscribing from marketing does not prevent Being Dog from contacting you where necessary in connection with a service you have booked or an enquiry you have made.
5. Website, ebook and cookies
The Being Dog website is hosted through Squarespace. Squarespace may process information needed to operate the website, handle website enquiries and provide purchases made through the website, including the Being Dog ebook.
The website uses cookies and similar technologies. Some are necessary for the website to function, while others may be used for purposes such as analytics.
Where consent is required, non-essential cookies are restricted unless you choose to accept them. You can accept, decline or manage non-essential cookies using the cookie controls on the website and can change your preferences later.
6. Services we use to provide training and run Being Dog
Being Dog uses third-party services to help provide and administer its services. These include:
Jotform for the separation anxiety intake form;
SA Pro for aspects of separation anxiety training and client support;
Google Workspace for business email and related file services;
WhatsApp for some client communications, calls and exchange of training videos;
online meeting and video-call services for remote consultations;
cloud-storage and file-sharing services for exchanging videos and other files; and
Xero for accounting and financial administration.
Clients may also choose to share files through services such as Google Drive, OneDrive or another file-sharing provider. Those providers may process information according to their own privacy arrangements.
Personal information is only shared with service providers where this is reasonably necessary to provide or administer Being Dog's services or meet relevant business and legal obligations.
7. Information processed outside the UK
Some of the technology providers used by Being Dog may process or store personal information outside the UK.
Where UK data protection law requires safeguards for an international transfer, Being Dog uses services that provide appropriate arrangements for handling those transfers.
8. How long we keep information
Being Dog keeps personal information for as long as there is a reasonable need for it, taking into account the reason it was collected, continuity of client support and any relevant legal, accounting or tax requirements.
Client records, communications and training material may be retained after a service has ended. This allows Being Dog to maintain a useful history of the work carried out and provide continuity if a client returns for further training or contacts us with questions about previous work.
Training videos and related records may also be retained where they form a useful part of that training history.
Newsletter information is normally retained while you remain subscribed, although information needed to record that you have unsubscribed may be retained where appropriate.
Financial and transaction records are retained for as long as required by applicable accounting and tax rules.
Being Dog will periodically review the personal information it holds and will delete or anonymise information where there is no longer a reasonable need to retain it.
9. Keeping your information secure
Being Dog takes reasonable steps to protect personal information against unauthorised access, loss, misuse or disclosure.
Access to client information is limited to what is reasonably necessary to provide and administer Being Dog's services, and third-party services are used with consideration for appropriate privacy and security arrangements.
No method of electronic storage or communication can be guaranteed to be completely secure.
10. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights including the right to:
ask for a copy of personal information Being Dog holds about you;
ask for inaccurate or incomplete information to be corrected;
ask for personal information to be deleted in certain circumstances;
ask for use of your information to be restricted in certain circumstances;
object to certain uses of your information;
receive certain information in a portable format where this right applies; and
withdraw your consent at any time where Being Dog is relying on consent.
You have the right to object to the use of your personal information based on legitimate interests in certain circumstances. You can also object at any time to the use of your personal information for direct marketing.

11. Complaints
If you have concerns about how Being Dog has handled your personal information, please contact zaira@beingdog.co.uk so that we can try to resolve the issue.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's data protection regulator.
12. Changes to this Privacy Notice
Being Dog may update this Privacy Notice from time to time, for example if the services we use or the way we handle personal information changes.
The current version will be published on this page with its effective date.
